Rehearse Before Open Day
Dr. Helen Marsh must finish the Main Hall welcome before lunch tours — rehearsal catches slides that run too long.
The day before Saturday 14 March 2026, James Okonkwo runs Slide Show → Rehearse Timings on NorthgateOpenDay.pptx, then tests Use Presenter View with the hall projector.
Extend the display (Win+P on Windows) so the projector shows slides while the laptop shows notes and the next slide.
Record Rehearse Timings
Dr. Helen Marsh wants the talk to finish before lunch tours.
- Click Slide Show on the Ribbon.
- Click Rehearse Timings.
- Expected result: Slide Show opens with a timer in the corner.
- Click or press Enter after each slide at the pace you plan to speak.
- When asked Save the new slide timings?, click Yes.
- Expected result: Slide Sorter view shows a time under each thumbnail.
Rehearsal Checklist in the Main Hall
James Okonkwo and Dr. Helen Marsh rehearse in the actual Main Hall when possible:
- Slide Show → Rehearse Timings — target under 12 minutes for slides 1–7
- F5 — test transitions and department bullet animations
- Presenter View — confirm notes appear on the laptop only
- Laser pointer — press Ctrl+L during show to highlight a tour time
- Save NorthgateOpenDay.pptx and copy to the hall laptop
Present with Presenter View
Presenter View shows notes and the next slide on the laptop only.
- Plug in the projector or hall screen.
- Windows: Win+P → Extend. Mac: System Settings → Displays → Extend.
- Tick Use Presenter View on the Slide Show tab.
- Click From Beginning (or press F5).
- Expected result: Laptop shows Presenter View; projector shows the current slide full screen.
- Click, press Enter, or use arrow keys to move forward.
Fix: If both screens show the same full-screen slide, set Extend display, then tick Use Presenter View. Mirror mode shows the same image on laptop and projector — Presenter View may not appear.
Slide Show Shortcuts
F5 starts Slide Show from slide 1. Shift+F5 starts from the current slide — useful when rehearsing only the Tour and Departments slides.
Ctrl+S saves; Ctrl+P prints. Do not confuse them during rehearsal.
Laser Pointer During the Talk
Press Ctrl+L during Slide Show to highlight an area on the tour map without permanent marks. Switch back with Ctrl+A for the normal arrow pointer.
Example — Start Slide Show from slide 1: Press F5 to start from the beginning. Shift+F5 starts from the current slide. Ctrl+S saves the file — it does not start Slide Show.
