Export and Share

Export a PDF of NorthgateOpenDay.pptx for parents who miss Open Day. PDFs open on phones without PowerPoint installed.

PDF is read-only for parents and volunteers. .pptx is editable for staff who update tour times before Saturday 14 March 2026. Email NorthgateOpenDay-handout.pdf to parents; keep NorthgateOpenDay.pptx on the staff drive.

• 1Click File.
• 2Click Export → Create PDF/XPS Document → Create PDF/XPS.
• 3Choose Standard quality. Optionally click Options → Handouts → 3 slides per page.
• 4Name the file NorthgateOpenDay-handout.pdf and click Publish.
• 5Expected result: A PDF opens or saves. Slides appear in the PDF.

After Export, open the PDF on a phone to confirm tour times and email address are readable without zooming.

• 2Copy NorthgateOpenDay.pptx to the staff shared drive, or use File → Share if your school uses OneDrive.
• 3Tell recipients: Open in PowerPoint desktop — not Online — if animations must match rehearsal.
• 4Expected result: Colleague can open the .pptx and see your latest slides.

An 80 MB file may not fit school email limits.

• 2Click Compress Media → HD (720p) or Internet Quality.
• 3Expected result: PowerPoint reduces embedded picture and video size.
• 4Press Ctrl+S or Cmd+S.

PDF is read-only. Tour time changes need the .pptx. Send the handout PDF to parents; keep the editable deck on the shared drive for James Okonkwo.

Example — Create a phone-friendly PDF: File → Export → Create PDF/XPS creates a read-only PDF parents open without PowerPoint. File → Save As → .pptx keeps the editable deck for staff.
