Print preview, duplex, scaling, and PDF export settings.
Why Print Preview
A misaligned header or wrong page range wastes hundreds of sheets before open day. Print Preview is the page-by-page view in File → Print showing exactly how the document will appear on paper, including headers, footers, and breaks.
James Okonkwo prints pages 2–5 as a proof — headers show Northgate Academy and footers show page numbers correctly. Printing straight to the office copier without checking Print Preview once sent Document1 instead of the handbook — always confirm the title bar reads NorthgateHandbook.docx before Print.
Print Preview
- File tab → Print.
- The right pane shows Print Preview — scroll to see each page.
- Check headers, footers, and page breaks.
- Under Settings, choose Print All Pages or Custom Print.
Scroll through cover, contents, and Open Day table — confirm Saturday 14 March 2026 is visible on the schedule page. File → Print → Page Setup link jumps to Layout margins if preview shows text clipped at the edge.

Print Selected Pages
Under Settings → Pages, type a range for test prints:
- Type 2-5 to print pages 2 through 5 only.
- Check the Uniform chapter and Open Day table.
- If correct, change to Print All Pages for the full parent run.
Dr. Helen Marsh signs off the proof before James Okonkwo prints two hundred copies for Saturday 14 March 2026. Example: File → Print, Settings → Pages 1-3 (cover and contents), print one copy — check logo and TOC page numbers — then Print All Pages for remaining sets.
Choose the Printer
Confirm the Printer drop-down shows the office device — not Microsoft Print to PDF unless you intend a PDF.
Click Print when preview looks correct. Home → Font changes text appearance; Insert → Header edits repeating text; Print Preview lives under File → Print.
Northgate Pre-Print Checklist
Before Print on NorthgateHandbook.docx:
- Title bar shows NorthgateHandbook.docx — not Document1.
- Track Changes off; comments resolved.
- Home → Replace — dates match Saturday 14 March 2026.
- Print Preview — headers, footers, page breaks look correct.
- Print 2–5 pages as proof, then the full run.
Resolve review markup before the parent print run. Coloured Track Changes markup must not reach the printed handbook in the Northgate Academy foyer.
