Open Day Capstone
Build the full Northgate Open Day deck: seven slides, theme, master logo, media, motion, notes, and export.
Capstone Overview
This lesson is a guided checklist. When every check passes, your deck should:
- Welcome families on Saturday 14 March 2026 at 10:00–14:00 in Main Hall and Sports Block
- Show tour times, five departments (English, Mathematics, Science, Humanities, Arts), sports facilities, and enrolment steps
- Present smoothly with Presenter View and export NorthgateOpenDay-handout.pdf
All three courses use the same fictional school so you can see how Word, Excel, and PowerPoint work together on one real-world project. Save after every step. The hall laptop should open the same NorthgateOpenDay.pptx you finish here.
The capstone proves James Okonkwo can hand a polished file to IT before families arrive on Saturday 14 March 2026. Work through eight steps in order on a real .pptx file. Each step names Ribbon paths.
Step 1 — Seven Slides with Correct Layouts

Confirm all seven slides exist in Slide Sorter view.
- Click Slide Sorter on the status bar.
- Count 7 thumbnails. Drag to match the table order if needed.
- Click Normal to return to editing.
- Expected result: Seven slides in order — Title, Welcome, Tour, Departments, Sports, Apply, Contact.
Step 2 — Key Content
Verify slide 1 subtitle includes Saturday 14 March 2026, 10:00–14:00, and Main Hall and Sports Block.
Slide 4 lists all five departments: English, Mathematics, Science, Humanities, Arts.
Slide 6 uses a numbered list with three application steps — Home → Numbering.
Slide 7 shows northgate.leeds.sch.uk and a phone number for Reception.
Step 3 — Theme and Slide Master
Branding must match across every slide.
- Click Design → pick one theme for the whole deck.
- Click View → Slide Master.
- On the top master, Insert → Pictures → add the school logo top-right.
- Click Close Master View.
- Expected result: Logo visible on normal slides. One theme applied throughout.
Step 4 — Pictures, Table, and Chart
- Sports slide: photo via Insert → Pictures → This Device, cropped with Picture Format → Crop
- Tour slide: 3-column table via Insert → Table (Time, Location, Guide)
- Optional: column chart via Insert → Chart on Welcome or Tour slide
- Accessibility: Picture Format → Alt Text on the sports photo
Step 5 — Transitions and Animations
Consistent motion looks professional on the Main Hall projector.
- Transitions → Fade → Apply To All. Set Duration ~0.75 s.
- On slide 4, select bullets → Animations → Wipe → Effect Options → By Paragraph.
- Expected result: Every slide shows a transition star. Department bullets animate one by one in Slide Show.
Step 6 — Notes, Rehearse, Present
Dr. Helen Marsh needs prompts and pacing before Saturday 14 March 2026.
- Normal view → slide 2 → type notes in the Notes pane.
- Slide 3 notes: mention 30-minute sports tours.
- Slide Show → Rehearse Timings → advance through all slides → save timings.
- Tick Use Presenter View → From Beginning → confirm notes appear on your screen.
- Expected result: Notes on slides 2 and 3. Timings saved. Presenter View shows notes.
Step 7 — Export PDF Handout
Families who miss the talk still get the information.
- File → Export → Create PDF/XPS → Publish.
- Save as NorthgateOpenDay-handout.pdf.
- Expected result: PDF opens and shows all seven slides (or handout layout).
Step 8 — Hall Laptop and Final Checks
The presentation PC may not be the machine you edited on.
- Press Ctrl+S or Cmd+S on NorthgateOpenDay.pptx.
- Copy NorthgateOpenDay.pptx to USB or staff drive IT uses for the hall.
- Open the file on the hall laptop → Slide Show → From Beginning → confirm animations and video.
- File → Info → if over 20 MB, Compress Media.
- Expected result: Hall laptop opens the deck. Slide Show runs with transitions and notes in Presenter View.
Run Slide Show → From Beginning on the actual presentation PC before Saturday 14 March 2026. Laptop screen colours and timing differ from the Main Hall screen.
Final Verification
Before you call the deck finished:
- [ ] NorthgateOpenDay.pptx saved with seven slides in order
- [ ] Title slide shows date, time, and venue
- [ ] Theme applied; logo on Slide Master
- [ ] Sports photo with alt text; tour table; department bullets
- [ ] Numbered steps on How to apply
- [ ] Transitions on all slides; department bullets animated
- [ ] Speaker notes on Welcome and Tour
- [ ] PDF handout exported
- [ ] File → Info shows reasonable file size (compress large images if needed)
Email James Okonkwo the PDF and keep the .pptx on the shared drive — one link for parents, one file for staff edits.
Example — Ribbon paths for common capstone tasks: Insert → Pictures adds a photo. Insert → Table builds a tour grid. Transitions → Fade sets slide changes. File → Export → Create PDF/XPS shares a read-only handout with parents.
