What This Lesson Covers
Every letter and handbook needs the same address and today's date — retyping invites mistakes. A field is a placeholder Word fills in automatically — current date, page number, document title — and updates when the document is printed or refreshed.
James Okonkwo sends weekly parent bulletins from the same office address. NorthgateHandbook.docx needs a professional cover with the logo area, title, and a DATE field that updates when the file is opened for Saturday 14 March 2026. Typing the date once and forgetting to change it on the printed open-day edition is a common error.
In this lesson you will learn how Quick Parts store reusable text, how fields update, and how cover pages apply a designed first page.
You will also save a SchoolAddress Quick Part and insert a DATE field on the cover.
Save Text to Quick Parts
- Type the school address block:
- Northgate Academy
- Leeds
- office@northgate-academy.example
- Select all four lines.
- Insert tab → Quick Parts → Save Selection to Quick Part Gallery.
- Name: SchoolAddress.
- Gallery: Quick Parts.
- Category: General.
- Options: Insert content in its own paragraph.
- Click OK.
Select only the address lines — one stray comma from the previous paragraph ends up in every letter the office sends if you save the wrong selection. Check the Gallery item preview before OK.
Insert the Saved Quick Part
In the Contact chapter or a new letter:
- Click where the address should go.
- Insert tab → Quick Parts.
- Click SchoolAddress in the gallery.
- The full block appears instantly.
Update the Quick Part once (select → Save Selection → same name → replace) and future inserts use the new address. Building blocks live in Insert → Quick Parts → Building Blocks Organizer if you need to rename or delete an old entry.
Insert a DATE Field
On the cover or a letter header:
- Click after Issued: on the cover.
- Insert tab → Quick Parts → Field.
- Categories: Date and Time.
- Field names: Date.
- Date formats: d MMMM yyyy (e.g. 14 March 2026).
- Tick Update automatically if offered.
- Click OK.
Press Alt+F9 (Windows) or Fn+Option+F9 (Mac) to toggle field codes vs displayed date. The footer field Page 3 of 12 updates when James Okonkwo adds a chapter without retyping footers.
Cover Page with Built-in Design
- Place the cursor at the very start of NorthgateHandbook.docx.
- Insert tab → Cover Page.
- Choose Slice (Dark) or Austin — pick one with a large title area.
- Click the title placeholder → type Northgate Academy Student Handbook.
- Click subtitle → Open day — Saturday 14 March 2026.
- Delete any placeholder author line or replace with James Okonkwo.
Cover pages insert their own section break in many designs — check footers on page 2 afterward.

Insert tab → Quick Parts → Field:

Combine fields: type Page → insert Page field → type of → insert NumPages field. Home → Styles formats paragraphs; Insert → Quick Parts stores reusable content blocks.
